Many accounting professionals are brilliant with numbers but struggle with one major hurdle: they have no idea how to go out and find clients. You know how to balance the books and ensure tax compliance, but the thought of marketing and selling your services feels intimidating or even “salesy.”

In this episode of Building the Premier Accounting Firm, host Roger Knecht sat down with Heidi Ryder, an entrepreneur, mother of four, and founder of Keepful—a marketing automation platform designed exclusively for accounting and bookkeeping firms. Heidi grew her own successful, 100% remote bookkeeping business and now helps other firm owners master their marketing.

Here is a breakdown of the biggest marketing mistakes bookkeepers make, and actionable strategies to confidently attract and sign your ideal clients.

The Biggest Marketing Mistake: Speaking “Accountant”

The number one reason firm owners fail to attract clients is their marketing language. Accountants have their own distinct vocabulary. We talk about reconciling accounts, statements of cash flow, and accounts payable.

While this makes perfect sense to your peers, it often leaves business owners confused, overwhelmed, or even feeling shameful about their lack of financial literacy. Business owners don’t wake up wanting a “reconciled general ledger.” They wake up stressed, thinking: “I made money last month, but it’s not in my bank account. Where did it go?”

The Fix: You must become an interpreter of the language of business. Stop using textbook terminology on your website and networking events. Speak directly to the business owner’s pain points using their everyday language. Remember, you don’t need to educate them on why they need accounting—the IRS already does that. Your marketing simply needs to make them aware that you are the solution to their headache.

How to Use AI to Fix Your Marketing Message

Many accountants are turning to AI tools to write their website copy or social media posts. While AI is incredibly powerful, it defaults to sounding like a textbook, which leads right back to the jargon problem.

Heidi recommends a simple hack: Flip the prompt. Once the AI generates a piece of marketing content for you, feed that exact content back into the prompt and ask: “Read this through the lens of my ideal client [describe the business owner]. Would this make sense to them in everyday language? How would they interpret this?”

This forces the AI to edit its own work, removing complex accounting jargon and replacing it with language that actually resonates with your target audience.

Overcoming Imposter Syndrome & Networking

Even after nine years in business, Heidi admits that imposter syndrome never completely disappears. The key isn’t waiting until you feel 100% ready; it is learning to walk confidently anyway.

Here are three ways to project confidence when finding clients:

  • Change Your Vocabulary: Instead of telling prospects, “I am starting a bookkeeping business,” which makes you sound like a beginner looking for a guinea pig, say, “I am now offering bookkeeping services.”

  • Never Freeze on a Question: If a prospect asks a question you don’t know the answer to, do not panic. Simply say, “Let me research that and get back to you with the right answer.” Clients don’t care about instant answers; they care about accurate ones.

  • Get Out and Network: You cannot market in a vacuum. Go to in-person networking events and practice your pitch. Watch their facial expressions—if their eyes glaze over, your messaging is too complex. Listen to the words they use to describe their problems, and steal that exact language for your marketing.

The Myth of the Work-Life Balance

As a homeschooling mother running two businesses, Heidi understands the pressure of juggling family and entrepreneurship. Her advice? Stop chasing “balance.”

You will never achieve a perfect 50/50 split between your business and your personal life. Instead, strive for intentional imbalance. Think of your responsibilities as a mix of rubber balls and glass balls. If a business task can wait while your child needs you, drop the rubber ball (the business)—it will bounce back. But never drop the glass balls (your family and faith). When you are out of balance, make sure it is for something truly meaningful.

Conclusion

Finding accounting clients doesn’t require high-pressure sales tactics. It requires clear communication, a willingness to listen, and the confidence to present yourself as a peer to other business owners.

Whatever part of marketing scares you the most—whether it is attending a networking event, rewriting your website, or increasing your prices—lean into it. Growth happens right outside your comfort zone.
